Generate the Activity Survey

Steps to run, customise, export, and lock the Activity Survey.

Generate the Activity Survey to gather the destination information for your cohort as of a specified date.

🤓 Note: Locking and unlocking the Activity Survey requires Management Information (MI) administrator permissions.


Run the survey

Use these steps to run the standard Activity Survey for a submission date. Select your year and date criteria, then run the survey to populate the results grid.

  1. Select the Year and the School Year from the selectors.

  2. Check the Date field. It defaults to the submission date. You can change it to run a survey for local use, for example, to see how the cohort has progressed since the last return was generated.

  3. Click Run Survey to gather the Activity Survey information using your specified values. If the survey has previously been run, a warning dialog is displayed confirming that previous data will be overwritten.


Run a custom survey

Use a custom date when you want to run the survey outside of the standard submission date, for example to check cohort progress at a specific point in time.

  1. Click the drop-down arrow on the Run Survey button, enter or select your Custom Date, then click Run Survey.

  2. Once the custom survey has run, the specified Custom Date is selectable alongside the default submission date. Select the date and click Run Survey to refresh the Activity Survey data.

🤓 Note: Export and save the data locally if you need to retain results from multiple custom dates. Running a custom survey with a new Custom Date overwrites the previous custom data.


Export the survey

Once the survey has been run, you can export the results as a CSV file for NCCIS submission or as workbooks broken down by LEA or school.

  1. Click Generate Submission CSV to generate a CSV file in the format required by the National Client Centric Information System. If you have applied filters, only the filtered dataset is exported.

  2. Click Export to export the workbook, then choose one of the following:

    • LEA Workbooks: Produces a zip file with one workbook for every Local Education Authority. Only the LEAs assigned to you via the User Administration screen are visible.

    • School Workbooks: Exports by LEA and produces a zip file containing one workbook for each school, unless All Schools is selected.


Lock the survey

Once a survey has been run, an MI administrator can lock the dataset to prevent it from being re-run and accidentally overwritten. Use this when the data is finalised if you want to protect it from changes.

  1. Click Lock to lock the survey.

  2. Click Yes to confirm, or No to cancel. The Run Survey button is locked, and details of who locked the survey are displayed.

To unlock the survey, click the Unlock button.
