Filter and review the Activity Survey

Steps to filter the Activity Survey, view totals, and check for errors.

The Activity Survey table is colour-coded by group. You can collapse or expand each group and sub-group by clicking the arrow, or by right-clicking the group and selecting Expand All or Collapse All. Use the filtering options above the grid to specify the criteria for the Activity Survey. These options are also used as selectors when generating the survey.

Build a filter

Follow these steps to build a custom filter for the Activity Survey.

  1. Click Filter, then click Build Filter. The Filter Builder dialog opens.

  2. Enter the Filter Name if required. If a name is not entered and the filter is saved, it is automatically named Custom Filter with the saved date appended.

  3. Click the column name, for example Client No, to select the column. Available columns include Client No, Local Education Authority (LEA), Office Code, School Code, Ward, Gender Code, Ethnic Code, Learning Difficulties and Disabilities (LDD), Support Group Code, LMCLEA (Local Management of Colleges LEA), and Postcode.

  4. Click Equals to select the comparison operator.

  5. Enter the Value or select it from the drop-down list.

  6. Click And to change the current operator. Click + to add a condition or group, or x to remove one.

  7. Click Save to save the filter for frequent use, Apply Filter to apply it without saving, or Cancel to close without applying.

🤓 Note: If a filter has been applied, the filter name is displayed above the grid.


Manage filters

Use the options below to edit, delete, or apply saved custom filters.

Edit, delete, or apply a saved filter

  1. Click Filter, then Manage Filters. The Manage Filters panel opens.

  2. Use the search fields and the check box to select the required filter.

  3. Click Edit to open the Workbook Filter Builder and make changes.

  4. Click Delete, or the Delete Selected button, to remove a saved filter.

  5. Click Apply Filter to apply the filter to the data.

Edit, clear, or apply a quick filter

  • Click Filter, then Edit Filter to amend an applied filter.

  • Click Filter, then Clear Filter to remove an applied filter and return the sheet totals to their unfiltered state.

  • Click Filter, then Quick Filters to apply a top-level Local Authority or Office/Area filter. These can be used in conjunction with custom filters.


View totals

Select the tabs above the grid to view the sheet totals. Select an ethnic grouping, or select Summary to view all grouping totals. Click Courses to view the course totals.


Check for errors

Follow these steps to check for errors and export them if required.

  1. Click Errors to check for errors in the fields being output to the survey. If errors are produced, the survey can still be exported.

  2. Click the Bookmark button to export errors to a new or existing bookmark:

    • To export to a new bookmark, select the New Bookmark radio button, then click Confirm to open the New Bookmark dialog.

    • To add to an existing bookmark, select the Append to existing radio button, then click Load Bookmark, select the required bookmark, and click Confirm. The selected bookmark opens with the new records added.

  3. Click Export View to export the errors selected based on your filters to a Comma-Separated Values CSV file. Click Export All to produce a full list of errors in a CSV file.
