The Youth Justice Management Information System Submission tab enables you to view the submitted data for each quarter, view the counts, and view errors and warnings. Click the YJMIS Submission tab, then select a submission period to populate the Summary Data tables with the top-level counts. The panel above the Summary Data shows when the Management Information was last run or a submission was generated.
đ¤ Note: Select a Custom date row to run a custom date period with alternative start and end dates when regenerating the MI.
Regenerate the MI
Follow these steps to regenerate the MI for a submission period.
Click Regenerate MI to open the Run Options panel. The Period Start and End dates auto-populate based on the chosen submission period.
Use the Include Supporting Data toggle to include or exclude supporting data when producing the submission, if requested by the Youth Justice Board.
Using the radio buttons, select the Mode to run:
All: Generate the MI data for all selected sheets.
Bookmark: Click Load Bookmark to open the Load Bookmark dialog, select a bookmark, and load it.
Click Run.
Generate and submit the XML
Follow these steps to generate and submit the Extensible Markup Language (XML) file to the YJB.
Click Generate YJMIS XML to produce the data for submission. If you selected a custom date row, you can edit the period start and end dates.
Enter the Name, Phone Number, and Email Address to set the default values for the XML. This information is pulled automatically from your linked Person record if available.
Do one of the following:
Click Download to download the XML data.
Click Send via Connectivity to submit the XML data. When the YJB reply with a successful response, the submission is automatically flagged as Accepted.
Mark and reset submissions
Once the selected quarter's XML has been generated, the Mark Submission as Accepted button becomes available. If you send the submission manually by email, click it to update the period's Accepted date and lock the submission so the data is not changed. Submissions sent via Connectivity lock as Accepted automatically, once an Accepted status is returned.
Accepted submissions display the Reset Period button. MI administrators can click Reset Period to reset the acceptance state and re-run the period.
â ď¸ Warning: Resetting a period cannot be undone. Use this with caution.
View the data
Click View MI Data to open the Workbooks, which display the generated data for the quarterly data submissions in the selected period.
Custom date periods
Follow these steps to set up a custom date period.
Click the calendar icon to select the Period Start and Period End dates.
Click Run to run the custom dates.
đ¤ Note: Only one custom date period per year can be saved to the database, but you can run the custom dates as many times as required. Each time a custom date is run for a selected submission year, the previous data is overwritten.
Load legacy data
Follow these steps to load legacy data into the YJMIS Submission tab.
Click Load Legacy Data to open the Load Legacy Data dialog.
Click Browse and select the archive zip file. The Year and Quarter fields attempt to populate with the information taken from the file name. Amend these if required. The Accepted Date defaults to the end date of the quarter and can be amended if required.
Click Load to upload the file. Depending on the size of the data set, this may take some time to process.
