Records to process in Erase Delete

Choose a process and load Young Person records for deletion, restoration, or erasure using the Erase Delete tool.

The Erase Delete tool lets you load Young Person (YP) records you want to delete, restore, or erase, either from a bookmark list or an expired data retention rule. Select your process first, then load your records from a bookmark list or an expired data retention rule.

⚠️ Note: To open Erase Delete from the Admin Tools menu, the Erase Delete menu item must be added to your Role.

Open the tool and select a process

Open the Erase Delete tool from the Admin Tools menu and choose the process you want to run before loading any records.

  1. Select Erase Delete from the Admin Tools menu. The Erase Delete Tool screen is displayed.

  2. On the Home tab, select the process you require: Delete, Undelete, Erase, or Erase Deleted Only. For an explanation of what each process does, see the Erase Delete tool overview.

🤓 Note: Click Open in New Window to open the Erase Delete page in a new window.


Select the records

Choose whether to load records from a bookmark or an expired data retention rule.

From a bookmark

Use this option to load a saved set of YP records using an existing bookmark or a .ypl bookmark file.

  1. Select the From Bookmark radio button.

  2. Click Bookmark, then do one of the following:

    • To choose an existing bookmark, select it from Load Bookmark.

    • To use a bookmark file, go to the location of your .ypl bookmark file, then click Upload File.

📌 Note: You can also process data retention records via a bookmark.

From an expired data retention rule

Use this option to load YP records that have been matched against a data retention rule that has expired.

  1. Select the Expired - Data Retention Rule radio button.

  2. Select the data retention rule from the drop-down list.


Check and filter the records

After you select a bookmark, bookmark file, or expired data retention rule, the grid updates to display all valid young people matched to your selection. Check the list to make sure you have selected the correct records before proceeding.

You can filter one or more columns of data if required.

  1. Enter your search text, then select the magnifying glass icon to choose the criteria to search for values that meet specific conditions.

  2. Click Reset to clear the column filter.

  3. Click the remove icon to remove a record from the grid if required.

  4. Click Reset to remove all records from the grid and reset the selected process to Delete.
