Specific users can be assigned to a YOT case or a youth activity project by using the access list.

To be able to use the access list, you need to enable this via Menu Admin and have the item available for the role accessing it.

Enable the menu items

To enable the access list:

  1. Go to Administration.

  2. Click Menu Admin.

  3. Click on the YOT/Projects menu group.

  4. Find the Access List menu item and click the button next to it.

Add the access list to roles

Now that you've enabled the access list, you'll need to add the roles that require access to it.

  1. Go to Administration.

  2. Click Roles.

  3. Select the role requiring the access.

  4. Click the Menu tab.

  5. Click Access List.

  6. Move the Access list record to the right-hand box.

  7. Click Save.

Set up the access list

Once you've configured the roles, you can add people to the access list.

  1. Click Access List from the menu.

  2. Click Add Person and select From Search.

  3. Search for the person you want to add to the list.

  4. Select the checkbox next to the person's record.

  5. Click Select.

  6. If required, assign write access to the user.

  7. Click Save.

Additional information

The access list enables restricted access to a case to specific people:

  • If there are no people assigned to the access list, everyone who would have normal access will have it.

  • If there are people assigned, the current user's person must be linked; otherwise, they will be denied access.

  • If the user's role is a YOT administrator, this will allow access to the YOT cases.
